Reservations
Simply mail your application with a check for your deposit ($500 for most trips). To reserve by phone, call and we'll hold your place one week while you send your check. We also accept VISA, MasterCard and American Express. If you prefer to pay by credit card, you can call us or print out our CREDIT AUTHORIZATION FORM, then fax it, mail it, or scan it and send it by email to info@AlysonAdventures.com.
Payment schedule
Your deposit will hold your spot until 60 days before departure for most tours. We reserve the right to consider a reservation cancelled, and the deposit forfeited, if the balance is not received by that date. Payment may be with check or money order or credit card.
Email policy
We never sell or rent our email list. We sometimes send helpful information about a trip, as well as reminders and acknowledgments of materials received, via email. Your name, address, and email address (but not phone number) may be supplied to other participants on your trip at the end of the trip unless you request otherwise. We may also (not more than 12 times a year) send you email notices of future trips and special offers that we think may interest you.
Eligibility, participation, behavior
Trip participants must be at least 18 years of age, unless accompanied by parent or guardian, and in good health. Our waiver of liability must be signed before an application is accepted; on some trips, you will also need to sign a waiver from our partner companies. Your application and reservation may not be transferred to another person. Participants agree to respect the laws and customs of the regions in which we travel. A participant may be asked to leave a trip if our guide feels that the person's continuing participation may prove detrimental to that individual, or to the safety, well-being, or enjoyment of others.
Cancellations and refunds
If you must cancel a reservation, we will refund your payments except for a cancellation fee, which is based on how many days before the departure date you cancel. We will give you a cancellation number; please record this number to verify that your cancellation was received. For reservations that do not include air transportation, the fee is:
90 or more days: $100 or 7% of trip price, whichever is greater.
60-89 days: $200 or 15% of trip price, whichever is greater.
For cancellations made closer than 60 days to starting date, there is no refund but if you have paid in full, we'll issue a credit (good for 18 months from the date of cancellation) for the amount indicated below. If you have not paid in full, there is no credit or refund.
30-59 days: We'll issue credit for 60% of payments received, if you have paid for full trip.
15-29 days:We'll issue credit for 50% of payments received, if you have paid for full trip.
4-14 days: We'll issue credit for 40% of payments received, if you have paid for full trip.
Within 96 hours of starting time: Credit for 25% of payments received, if you have paid for full trip.
No-shows: No credit or refund if you do not show up, and have not cancelled by the time the trip begins.
Total is defined as the total of trip cost with any supplements requested. The cancellation fee is the same regardless of the reasons for cancellation. Cancellations must be received in writing. There is no refund for participants who join a trip late or depart early. We include medical, evacuation and baggage insurance for all tour participants, and we strongly recommending choosing the cancellation and interruption insurance option as well. If you must cancel a reservation, it cannot be automatically transferred to another person, but if you know someone who is interested, we can offer it to them if there is not already a waitlist. (Why cancellation fees are necessary)
Late fee
A $50 late fee applies whenever we have not received full payment, and signed application and waiver, 60 days before start date of trip or 10 days after your initial reservation, whichever is later. Expedited turnaround may be needed on your part in the case of reservations made within 60 days of the start date.
Trip changes and cancellations
We reserve the right to alter trip itineraries without notice due to road, weather, or other considerations. If we cancel a trip within 60 days of departure due to low enrollment, we will give you a full refund. If we cancel a trip due a natural disaster, political unrest, or other events beyond our reasonable control, we will refund your payments in full. This shall constitute full settlement. We are not responsible for additional expenses such as non-refundable air tickets. Alyson Adventures, Inc., reserves the right to accept or refuse any person as a member of the trip at any time.
Lodging
Prices are per person, double occupancy (pp/do), except as otherwise noted. If you sign up at least 60 days before departure and want the pp/do rate, we'll either match you with a roommate, or give you a room by yourself at no extra charge. For those who reserve within 60 days, we will try to match you with a roommate, but will charge the single supplement if we can't match you with someone. Those who want to room alone may do so by paying the single supplement. In some cases, the second beds in shared rooms may be a rollaway, sofabed, or airbed. Shared rooms are designated as non-smoking unless both parties agree otherwise.
On bike trips, accommodations are usually at small hotels and B&Bs. We search out places that are comfortable and that capture some elements of whatever is special about the area we're visiting. For other trips, where we stay several nights or all week in one spot, we often stay in condo- and apartment-style lodging, typically with two or three bedrooms to a unit. These offer the comforts of a kitchen and living room for socializing with others in the group. Taking the single supplement in these situations means having a bedroom to yourself in a shared apartment or condo unit. Private bathrooms are available with most rooms, on most trips, but are not guaranteed.
Physical condition and health
To get the most enjoyment out of your trip, plan some conditioning beforehand. We'll send suggestions after you register. Before reserving, please consult with your doctor to be sure you have no health-related barriers to participation. All participants must have medical insurance, and you are responsible for payment of any medical services you may require during the trip. (Our included medical insurance is secondary, so you will need to request reimbursement from your personal health insurer first.) Group dinners are always non-smoking. Hotel rooms are non-smoking unless each person in the room wishes otherwise, and hotel policy allows smoking.
Price guarantee
Once you have paid in full for a tour, we guarantee the tour price that you have paid. However, until full payment is received, we reserve the right to add a surcharge in the event of significant currency fluctuations.
Pre-departure information
Well before your trip begins, we'll send you a more detailed itinerary, as well as suggestions about what to take with you, where to meet, and other travel advice.
Terms are subject to change
Our full agreement with you shall be as stated in the application and terms that we send, and which you sign when you reserve.
Reserve early!
Unlike cruise ships, which handle tens of thousands of passengers each season, we can accommodate only a small group on each trip. Many of our trips sell out months in advance. Don't be disappointed!
